Tracking A Reservation’s Cycle

I have found that the generic settings in the RESERVATIONS CYCLE are not enough.  I always seemto have clients that have put a check in the mail, or are waiting to get paid to make a deposit. They are committed to a trip but there is no money on the deal just yet.

Of course, I am still working my leads and sending them out reminders of why I am so great and how this trip is the best for them.  But I don’t want to send this message to the clients who are already committed.

The solution is to create an additional reservation cycle choioce called COMMITTED NO DEPOSIT. That way I can query up these dawdlers and send them gentle reminders–and not a sales pitch!

In any reservation card, click on the blue RESERVATION CYCLE label and then click ADD. Type in the new cycle and then click OK and then OK again. Now you have a new choice in your pulldown menu.

Other ideas:

  • WAITLIST if you do a lot of groups
  • DROPPED FROM CONSIDERATION it is nice to track what clients do this and are your “chain pullers”
  • UNDER DEPOSIT

(To be honest, I forget the default ones, but I know you can add a bunch more to make your reporting a lot more meaningful.)

Saving Time With Res Cards

Are you using the COPY feature for your res cards? Do you have a destination wedding? Maybe you have a small group? Or are you finding that you sell a lot of a particular product?

Why not save some time using the COPY feature?

Create a Reservation Card in your own profile. Take your time and make it as detailed as you like–bullet points for the inclusions at the resort, addresses at the resort, ports of call etc. You can leave out your pricing and dates for now.

Now when a clioent is interested in that trip (or one that is similar) pull up your profile and from the RES CARD summary, highlight the Res Card and click COPY. Switch over to the client profile and then in the Res Card summary click PASTE and all of your information will transfer over. Just fill in the missing pieces.

We use this for all of our Sandals and Beaches bookings. We have detailed info for each property including the name of the GM and his extension for when they are on property. We also use it for destination weddings or groups. All we do is modify the pricing and a few fields and all the tedious info is left to automation!

Cruise Itineraries Are A Pain

When you have the sea days and the crazy arrival and depart times, getting a cruise itinerary in ClientBase can be a hassle. For years I struggled with it by doing it manually.

Now, technology is your friend. If you can make an online booking (either via Live Connect) or on a supplier’s website, you can import it into ClientBase using Live Connect (most cruise suppliers).

For instance, I have some single parents sailing on the Ruby Princess this summer. I created a res card for myself (hoping to turn it into a group–or I would have used the inventory) for the sailing. I went to Polar Online, made the reservation without a payment and imported it into my personal client profile.

The import brought over the itinerary, the dining, the cabin assignment and more. Now for my clients that are sailing, I just copy it and paste it in their res card and voila! The itinerary is present!
