ClientBase has really helped you to streamline your work process. Do any of you recall the days of index cards and reservation folers or client worksheets? Are any of you still using them? SHAME ON YOU!
I read an interesting article the other day (I will look for a link) that said the advent of computers actually INCREASED our consumption of paper–for a period. Remember the old pin-fed printouts? But out consumption today is actually less than it was pre-computer. Pretty cool, huh?
So, are you using ClientBase to help eliminate your paper clutter? Are yo using attachments? It couldn’t be any easier.
- Sign up for a e-fax service so all of your faxes are coming in as a PDF file.
- Install a PDF print driver (standard in Vista and available in XP for free)
Now you have the ability to store all of your faxes and “print” all of your emails and convert them to a PDF file. So what? How do you organize that?
Again, simple! Say you get a fax (PDF) from Trafalgar Tours for the client doing the Turkish Tour this summer. Save the file on your hard drive. Then switch into ClientBase, pull up the appropriate res card (or profile if it is not a res card specific document) and click on the ATTACHMENTS tab and then click ADD. Surf your way to the proper file and attach it.
ClientBase has just added a map to the document so you can retrieve it when you need it and where you need it.
Think of all the documents that come in during the course of a transaction. Several quotes, a final quote, a vendor receipt for the deposit, vendor receipt for final payment, fuel surcharge increase, countless emails. Wouldn’t it be nice to have them all in one place where the only things you see are the things that are appropriate to the specific reservation?
